Spring 2020 Event Cancelation FAQ's

Why was WASWUG Spring canceled?
WASWUG Spring 2020 has been canceled due to the recommendations expressed by public health agencies and Governor Inslee to limit large public gatherings. Our number one concern is the health and safety of our attendees, speakers, partners, colleagues and our vendors. Based on this, we made the decision to cancel this event.

Will I receive a refund?
Yes. To lessen the financial impact on you and your district, we will be processing full refunds for all currently registered attendees. This process has already begun.

Can I transfer my conference registration to WASWUG Fall 2020 or WASWUG Spring 2021?
Due to administrative limitations, we are unable to transfer registrations to WASWUG Fall 2020 or WASWUG Spring 2021, but encourage you to register for those events as they become available.

Will I be presenting at a future WASWUG conference now that this conference is canceled?
We will send you information soon about how you can present at future WASWUGs.

What do I do about my hotel reservation?
If you made lodging arrangements in the WASWUG Room Block at the Hyatt Regency Bellevue or Hilton Garden Inn, these reservations have been canceled at no penalty to you.

I canceled my hotel reservation before WASWUG Spring was rescheduled/canceled - will I still be charged the one night cancelation fee?
No, you will not be charged - the Hyatt Regency Bellevue and Hilton Garden Inn have waived this fee.

General FAQ's

What is WASWUG?
WASWUG is a conference that provides the opportunity for school district users to learn more about the Skyward product suite and other topics important to managing and reporting data. You will be able to share insights and network with fellow Skyward users. There are 160+ breakout sessions offered at WASWUG Spring and another 100+ sessions at WASWUG Fall within the Student, HR and Finance Modules, as well as beneficial Professional Development courses. The sessions are taught by knowledgeable WSIPC and Skyward staff, trained professionals, and software power users.

What if I need to cancel my registration?
Refunds will be honored for cancellations received via email, fax, or mail NO LATER THAN three weeks prior to the event. (See the Cancellation Policy for exact dates.) However, a $75 cancellation fee will be assessed for all cancellations received prior to the deadline. Substitutions will be accepted through the first day of the conference. No refunds offered after the deadline. No shows will be charged the full registration amount. Contact the Registrar with questions.

When does the list of breakout sessions get posted so I can decide if I want to attend?
A complete list of breakout sessions is typically not available until six to eight weeks prior to the conference, but we do try and provide you with a sampling and/or initial list of sessions. We are busy months ahead of time determining the curriculum and seeking presenters to provide you with a variety of Student, Finance, HR, and Qmlativ sessions for the beginner to the advanced user. 

What are we eating?
We post a “meals” page that lists the menus being served, including vegetarian and gluten free options. This is available two months prior to the conference.

Wouldn’t boxed lunches or buffets be less expensive than the fancy banquet meals we receive?
Surprisingly, the answer to this question is “no.” Buffets actually cost more than plated meals and result in more food waste. Boxed lunches are not less expensive than plated meals and are not recommended when holding an environmentally friendly event. We do occasionally offer buffet or boxed meals due to scheduling or spacing needs. We also must adhere to the government guidelines provided through the Office of Personnel Management (OPM), which can present a challenge when trying to offer quality meals at or near per diem.

In recent years, I have not always received handouts at the breakout sessions. Why is that?
There is a significant cost to producing session handouts and we find that many get left behind. If a presenter has created a handout, it will be available through our WASWUG conference app, as an attachment to the breakout session title and description. As a WSIPC member, you also have access to the WSIPC Guides through SkyDoc within the software. If you are not a WSIPC member, but would like to receive a WSIPC Guide that is referenced or used during a breakout session, stop by the Info Desk and provide us with your contact information. We will email you an electronic version of the Guide.

Who is WSIPC?
WSIPC produces the WASWUG conferences. WSIPC is a non-profit cooperative empowering schools with a powerful lineup of technology solutions. Why is WASWUG Spring always in March in Bellevue?
There are very few locations in Washington that have sufficient meeting and sleeping rooms to accommodate an event of this size and scope. As such, it is necessary to reserve the space (in the form of contracts) three to five years in advance of each conference. These contracts ensure we have a venue for the conference, and require set minimum expenditures for hotel rooms and food costs. Changes to the conference structure (such as the number of days) or scope (meals, major program changes) are limited within the parameters of the existing contract without incurring penalty charges.

Why does the Hyatt Regency Bellevue run out of sleeping rooms so quickly?
Because WASWUG is so popular! Actually, when securing a contract with a venue, we are only able to book a certain number of rooms due to the Hotel’s policy on group business. This helps both the Hotel and WSIPC manage the potential risk if rooms are not filled sufficiently. As much as we would all love to be in the same place, we have the opportunity to experience more than just the Hyatt. In addition to the group rates available at the Hyatt Regency Bellevue, we also offer a selection of surrounding hotels in Bellevue.
